Administrative Assistant

Job Type: Full time salaried.  We have a four day work week! Work is performed in the office with pre-scheduled Mondays or Fridays off.

About the Position: The Administrative Assistant will provide support to all members of our team. Specific responsibilities that are aligned with this position may include but are not limited to:
• Assist Controller with accounting tasks or projects
• Manage/request current tenant COI’s and renewals
• Manage/request current vendor COI’s and renewals
• Collect/print receipts, add detail
• Reconcile receipts against credit card billings, submit credit card statement with detail to accounting
• Coordinate scheduling for maintenance technician
• Enter and track maintenance work orders
• Follow up on open work orders
• Property inspections – review for work orders, report issues to property managers
• Calculate and submit maintenance hours for payroll and chargebacks
• Determine tenant bill-back charges
• Coordinate Transit insurance, repairs, records, etc
• Manage Transit GPS account – track as needed
• Master property binders – manage, update data, and distribute changes to employees
• Manage property keys
• Assist with tenant holiday gifts, tenant appreciation events, etc
• Create & maintain tenant HVAC preventative maintenance program and retail sales report tracking
• Other duties as assigned
• Assist with answering office phones and doorbell

Requirements:
• High School Diploma
• Must be able to pass a background check, reference check, and prior employment verification
• At least 2 years of administrative support experience (preferably within commercial real estate, property management, construction, or other related industries)
• Microsoft Office proficiency (Word, Excel, Outlook, etc.)
• Excellent communication skills, both written and verbal
• High level of interpersonal skills and ability to work well in a team atmosphere
• Problem solver
• Service oriented
• Very strong attention to detail
• Ability to work under time pressure, multi-task, and adapt to changing requirements with a positive attitude
• Ability to work independently and efficiently with light supervision
• Experience/familiarity with Yardi software a plus

Associate Broker

Job Type:  Contractor, commission paid

Location: 9245 N Meridian St, Suite 333, Indianapolis IN 46260

About the Position:  The Associate Broker will have experience performing commercial brokerage processes and strategies.  Responsibilities of this position may include but are not limited to:

  • Cultivate new tenant prospects and maintain relationships with existing tenants
  • Respond to inquiries from interested, prospective tenants in a timely manner
  • Make cold calls by telephone and conduct walk-ins to potential tenants
  • Develop and maintain beneficial relationships with our brokers, property management team, and office staff
  • Create and build upon relationships with local third party brokers
  • Canvas markets to identify potential tenants
  • Continually demonstrate Halakar’s values of Integrity, Communication, Loyalty, Success and Camaraderie in everyday interactions
  • Develop and maintain creative and aggressive leasing strategies such as re-tenanting, early renewals, buy-outs, relocations, and new tenants
  • Generate and maintain a pipeline of prospective tenants
  • Document notes, outcomes and details accurately
  • Travel within the Indianapolis area to conduct property tours and address leads and opportunities
  • Negotiate terms, deal structures, and analyze transaction costs
  • Work on brokerage projects, attend meetings and site visits/tours

Requirements:

  • Current Indiana real estate broker license
  • Bachelor’s degree (finance and/or real estate concentration preferred)
  • Self-directed learning mindset for personal and professional development
